Y News: New Private Swim Lessons Process
We are excited to announce a new process to purchase and schedule Private & Semi-Private Swim Lessons effective February 2, 2024. Allowing participants to schedule lessons immediately instead of waiting to be contacted by an instructor should reduce the time between purchase and the start of lessons. This guide will walk you through the process to purchase and redeem swim lesson credits.
REGISTER FOR PRIVATE OR SEMI-PRIVATE LESSONS
To take advantage of the new scheduling feature, you must register for lessons February 2 or later. Any lessons purchased before February 2 will still be scheduled directly with a swim lesson instructor.
- Log into your Y account and select “Programs.”
- Scroll down until you see the program circled below – Swim Lessons – Private & Semi-Private NEW!!.
- Click on the program and then select the number of private lessons you want to purchase (see next image).
- Follow the on-screen prompts to complete the registration process.
SCHEDULE PRIVATE OR SEMI-PRIVATE LESSONS
Instead of waiting to be contacted by the Swim Instructor, you now will be able to schedule your private & semi-private lessons yourself through your Y account.
- Log into your Y account and select “Account” at the top right of the page.
- Click on the “Scheduling” tab as shown below.
3. Click the “Schedule a new appointment” button as shown below.
4. You will see a calendar with available appointments. Use the buttons at the top right to filter by instructor or to go to other weeks.
5. Click the box on the day and time you want to schedule lessons.
6. You have the option to repeat this same lesson day of the week and time by checking the Repeat box as shown below.
7. Check the details of the date and time you selected to make sure they are correct.
8. Be sure to check the “Confirm” box as shown below and then click the “Submit” button.
If you purchased 5 or 10 swim lessons, 1 credit will be deducted from your balance each time to schedule a lesson. At any point you can check your balance of credits by clicking the “View Usage Summary” link as shown below.
You can view all of the lessons you have scheduled in the “Your Upcoming Appointments” section of the “Scheduling” tab as shown below.
CANCELLING A LESSON
If you need to cancel a lesson, click on the box in the calendar above.
The popup shown above will display the details of your lesson. Click the “Cancel / Remove Appointment” button at the bottom. A second screen will pop up to confirm that you want to cancel the reservation. You must click that confirm button to cancel the lesson.
You can cancel lessons up to 12 hours in advance to receive that credit back. PLEASE NOTE: Cancellations with less than 12 hours’ notice or no-shows will result in the deduction of 1 Private Swim Lesson credit.
OTHER IMPORTANT INFORMATION
We have found that consistency often is the key to successfully learning to swim. For that reason, we recommend choosing the same days, times & instructor for every lesson. For your convenience, the online scheduler can book repeating appointments as referenced above.
We also recommend no more than 2 or 3 lessons per week.
Lessons can be scheduled no less than 12 hours ahead of time. They also cannot be cancelled less than 12 hours ahead of time through the scheduling system. If some extenuating circumstance arises for either the instructor or student within that 12-hour cancellation window, please contact the instructor or student directly. But please understand that some reasons still could result in the deduction of 1 Private Swim Lesson credit.

WHY THE CHANGE?
As with any change, we expect a period for all parties to get used to this new process. But we wanted to share some of the ways the new process benefits both our staff and the members and non-members who choose our Y for Private & Semi-Private Swim Lessons:
- As our membership has continued to grow, the number of private lessons purchased is also increasing. In the current system, participants have a wait time of up to 3 weeks before being contacted by an instructor to work out a schedule. This backlog has been increasingly frustrating for customers. This new system will eliminate the middle step of waiting to be contacted by an instructor. Customers now can schedule their lessons as soon as they purchase them.
- As the number of private lessons we’ve been giving has increased, it also has added time on the back end to process payment for our instructors. Moving to this new system that is more easily tracked will greatly reduce staff time.
